ZouthFla IT Services, LLC (“ZouthFla,” “WellRaven,” “we,” “us,” or “our”) operates the WellRaven mobile application, website, and related online services (collectively, the “Platform”).

We respect your privacy and are committed to protecting your personal information.
This Privacy Policy explains what information we collect, how we use and share it, and the rights and choices available to you.

Note: Certain features described in this Privacy Policy — including trainer-related functionality — may be offered on a limited, beta, or future basis and may not be available to all users at this time.


1. Scope & Applicability

This Privacy Policy applies to all individuals who interact with WellRaven, including:

  • Members and clients using the mobile app or website
  • Trainers or professionals who apply or register to provide services through the Platform (where available)
  • Visitors who browse our website or interact with our content

This policy applies regardless of how you access the Platform (mobile, web, or integrations).


2. Information We Collect

a. Personal & Account Information (All Users)

We may collect:

  • Account Information: Email address, username, password (securely hashed)
  • Profile Information: Display name, avatar, bio, preferences
  • Communications: In-app messages (chat), comments, posts, requests, or other content shared through the Platform
  • Push Notification Data: Expo push tokens used solely to deliver notifications

b. AI Features & Consent Records (Where Available)

If you use AI-powered features (such as Ravenbot), we may collect:

  • AI Inputs: Messages, prompts, or questions you submit to AI features
  • AI Outputs: AI-generated responses returned to you
  • Technical Metadata: Platform type, app version, and language used during the AI session
  • Consent Records: Records of your acceptance of the AI Data Processing Consent, including:
    • User ID
    • Legal document slug
    • Language of acceptance
    • Version accepted
    • Platform (iOS / Android / Web)
    • App version
    • Timestamp of acceptance

AI features require acceptance of a version-controlled AI Data Processing Consent document. If a newer version is published, you may be required to accept the updated version before continuing to use AI functionality.

AI inputs may be securely transmitted to third-party AI service providers strictly for the purpose of generating responses. These providers are contractually obligated to safeguard your data.


c. Client & Member Information

If you use client-facing features, we may collect:

  • Contact Information: Full name, phone number, and general location (city/state or region)
  • Preferences & Goals: Wellness goals, activity preferences, scheduling availability
  • Transaction References: Subscription status, purchase history, billing references

We do not store full payment card or banking details.
Payments are processed by third-party providers.


d. Trainer Information (Where Available)

If trainer functionality is enabled and you apply or register as a trainer, we may collect:

  • Professional Details: Name, contact information, service location, languages spoken, optional gender
  • Credentials: Certifications, licenses, uploaded documents, education history, references
  • Public Profile Content: Bio, specialties, rates, photos, videos, availability
  • Payment & Payout Data: Stripe Connect ID or payout account reference
  • Verification Data: Identity verification or tax information as required by law

Trainer information may be reviewed manually or automatically to ensure platform integrity, safety, and compliance.


e. Device, Usage & Technical Data

We automatically collect:

  • Device Information: Device type, operating system, app version, browser type, locale
  • Usage Analytics: Screens viewed, feature usage, session duration, crash logs
  • Cookies & Similar Technologies (Web): Session management, analytics, and language preferences

f. Language Preferences

WellRaven allows users to select a preferred language for the app interface.

English is the primary language of the Platform.
Some features, system text, or user-generated content may appear in English if a translation is not available.


3. How We Use Your Information

For All Users

We use information to:

  • Create, authenticate, and manage accounts
  • Deliver Platform features and functionality
  • Facilitate in-platform communication, including direct messaging and community interactions
  • Provide customer support and respond to inquiries
  • Improve performance, reliability, and user experience

For Clients

Where applicable, we use data to:

  • Match clients with available trainers or services
  • Facilitate scheduling and in-platform communication
  • Process subscriptions and maintain billing records

For Trainers (Where Available)

Where applicable, we use data to:

  • Review and verify applications and credentials
  • Display trainer profiles on the Platform
  • Manage bookings and availability
  • Process payouts through payment partners
  • Meet legal, tax, and regulatory obligations

4. Legal Bases for Processing (Where Applicable)

Depending on your jurisdiction, we process personal data based on:

  • Performance of a contract
  • Legitimate business interests
  • Compliance with legal obligations
  • Your consent, where required

5. Data Sharing & Disclosure

We do not sell or rent your personal information.

We may share limited data with:

  • Service Providers: Hosting (e.g., Supabase), payments (e.g., Stripe), notifications, analytics
  • Trainer–Client Interactions: Limited contact details necessary to facilitate booked services
  • Legal Authorities: When required by law or to protect rights, safety, or property
  • Business Transfers: In the event of a merger, acquisition, or asset sale

All partners are contractually required to safeguard your data.


6. Data Security

We use industry-standard safeguards, including:

  • Encryption: TLS/HTTPS for data in transit; encryption at rest where supported
  • Access Controls: Role-based permissions and Row-Level Security (RLS)
  • Operational Safeguards: Monitoring, logging, and internal access reviews
  • Payments: Processed exclusively through secure third-party systems

Secure Messaging

Certain in-app communications, including direct messages between users, are protected using end-to-end encryption.
This means message content is encrypted on the sender’s device and decrypted only on the recipient’s device.

We do not have access to the plaintext content of encrypted messages while they are transmitted or stored.

No system is completely secure, but we continuously improve our protections.


7. Your Rights & Choices

Depending on your location, you may have the right to:

  • Access your personal data
  • Correct inaccurate information
  • Request deletion of your data
  • Restrict or object to certain processing
  • Opt out of marketing communications

Requests can be submitted to support@wellraven.com and are generally processed within 30 days, subject to legal obligations.

Trainer verification and payout records may be retained longer where required by law.

WellRaven is not intended for children under the age of 16.

If you access WellRaven from outside the United States, your information may be processed and stored in the U.S., where data protection laws may differ.

By using the Platform, you consent to this transfer.


11. Do Not Track Signals

At this time, WellRaven does not respond to browser “Do Not Track” signals.

We may update this practice as standards evolve.

We may update this Privacy Policy periodically.

Material changes will be communicated via the App or email.
The “Last updated” date reflects the most recent revision.
